Terms of Service

1. About these terms
These terms set out the conditions for using Roji (“the Service”), provided by Not set yet (“we”). By using the Service you agree to them.
Roji is a tool for teachers — language coaches and others — to keep a record of how their students are doing and decide what to teach next. Our user is the teacher; their students use the Service by the teacher's invitation.
2. Definitions
- You — the person who creates an account and keeps student records: the teacher.
- Student — a learner the teacher adds to the Service. They may sign in themselves after an invitation, or the teacher may keep records on their behalf.
- Workspace — the container for one teacher's data. Data is separated at this boundary.
- Your data — everything you and your students put into the Service: records, assignments, submissions, messages, files and so on.
3. Your account
- Register with accurate information.
- Don't share the email address or sign-in link you use with anyone else. A sign-in link is itself a key to your account.
- Don't share one account between several people. It makes it impossible to tell who did what, and that means we can't protect your students' information. If you work with other teachers, create an account each.
- Keeping your account secure is your responsibility. Anything done through your account is treated as done by that account.
4. Students who are minors
Some of the students entered into the Service will be minors. It is your responsibility to obtain a parent's or guardian's consent before entering a minor's information, and before letting a minor use the Service.
- We have no direct relationship with your students' parents or guardians. Obtaining and recording consent is yours to do.
- A student's display name doesn't have to be their legal name. We recommend not entering personal details that teaching doesn't need.
- If a parent asks for information to be deleted, you can delete it yourself. Contact us if a whole workspace needs deleting.
5. Your data
Your data is yours. We claim no ownership of it. We store and process it only as far as running the Service requires. For the student information you put into the Service, we act as a processor holding it on your behalf.
- Only enter student information you have the right to enter.
- We use what you entrust to us for nothing except running the Service.
- We never use your data to train AI models. Our agreement with the AI provider excludes training.
- You can export everything to a single file at any time (Settings → Export your data), including after you cancel.
- How we handle it is set out in our privacy policy.
6. Sub-processors
We use external providers to store and process data as far as running the Service requires. Our privacy policy lists them and what each one handles. If we change them, we update the privacy policy.
7. Fees
- Paid plans are billed monthly, priced by how many students you're currently teaching. Amounts are on the pricing page.
- We charge your registered payment method when you subscribe and on each monthly renewal date.
- The billing currency follows the language of the site you subscribed from — Japanese yen from the Japanese site, US dollars from the English site. Neither is a converted figure; each currency has its own set price.
- Archived students don't count towards the student total.
- If we can't confirm payment, we may switch off paid features. You never lose access to your records.
- We'll announce any price change in the Service at least one month in advance. Continuing to use it after that means you accept the new price.
8. Cancellation
- Cancel any time from Settings → Billing inside the app.
- After cancelling, you keep access until the end of the billing period you've paid for.
- We don't refund periods already provided.
- You then drop to the free plan. No student, record, assignment or test is deleted automatically.
- If you want your data deleted, ask us through the contact form.
9. What you may not do
- Anything unlawful or contrary to public order and morals
- Anything that infringes the rights of other users or third parties
- Interfering with the Service, accessing it without authorisation, or placing excessive load on it
- Using other people's information obtained through the Service for any other purpose
- Copying, modifying, decompiling or reselling the Service
- Entering a third party's personal information that you have no right to enter
10. Suspension
If you breach the section above, we may suspend or delete your account without prior notice. Except in urgent cases, we'll tell you what the problem is and give you a chance to put it right first. If we do suspend an account, we'll give you a chance to export your data.
11. AI output
The Service uses AI to produce drafts of assignments and analysis. Always review what it produces and use your own judgement. We make no warranty as to its accuracy.
- Nothing AI writes is shown to a student until you confirm it.
- Each plan includes a monthly number of AI runs. Running out stops AI only, and it resets the following month. We never bill for overage.
- What you send to AI is transmitted to an external provider. See our privacy policy for details.
12. Interruption, changes and discontinuation
- The Service may be interrupted for maintenance, faults, or outages at providers we depend on. We'll announce planned maintenance in advance where we can.
- We may change what the Service does.
- If we discontinue it, we'll give at least three months' notice and a period in which you can export your data.
13. Confidentiality
We won't disclose your data or your information to third parties except where the law requires it. This obligation continues after the contract ends.
14. Intellectual property
Intellectual property in the Service belongs to us. These terms grant you the right to use the Service; they don't transfer any rights in the Service itself. Rights in your data remain yours, as set out in section 5.
15. Limitation of liability
- We don't warrant that the Service fits any particular purpose of yours, or that it will be free of interruptions or defects.
- We aren't liable when the Service is unavailable because of network conditions or a failure at an external provider.
- Except in cases of wilful misconduct or gross negligence, our liability is capped at the fees we received from you in the preceding 12 months. If you use the Service for free, that cap is JPY 10,000.
- We aren't liable for lost profits or indirect damages.
16. Organised crime exclusion
You represent and warrant that you are not a member of, and have no relationship with, organised crime groups (bōryokudan) or other anti-social forces as defined under Japanese law. If you breach this, we may suspend your use and terminate the contract without notice.
17. Notices
We contact you by sending email to your registered address, or by posting in the Service. To contact us, use the contact form.
18. Assignment
You may not transfer your position under these terms to anyone else without our written consent. If we transfer the Service to a third party — for example through a sale of the business — we may transfer your position under these terms and your data to them. We'll tell you in advance if that happens.
19. Changes to these terms
We may change these terms. For significant changes that disadvantage you, we'll announce them in the Service at least one month in advance. Continuing to use the Service after that means you accept the change. If you don't accept it, cancel.
20. Severability
If any part of these terms is held invalid or unenforceable, the rest stays in force.
21. Governing law and jurisdiction
These terms are governed by Japanese law. Any dispute relating to the Service goes to the district court with jurisdiction over our registered address as the exclusive court of first instance.
22. Language of these terms
The Japanese version is the binding text. Versions in other languages are translations for convenience, and the Japanese version prevails where they differ.
